Terms and Conditions
Terms and Conditions

Thank you for choosing Trip Into Travel to assist with your travel plans. Trip Into Travel operates as an independent travel business affiliated with Outside Agents, our host agency. By requesting, booking, or purchasing travel services through Trip Into Travel, you acknowledge that you have read, understood, and agreed to the following Terms & Conditions:

1. TRAVEL PLANNING & BOOKING SERVICES

Trip Into Travel provides travel planning and booking assistance for flights, hotels, resorts, cruises, tours, transportation, activities, travel insurance, and more. We act as an intermediary between the client and the applicable travel supplier. The actual travel services are provided by third-party suppliers, including airlines, cruise lines, hotels, resorts, tour operators, and more. Trip Into Travel is affiliated with Outside Agents, which provides host-agency support and access to industry resources and supplier relationships.

2. CLIENT INFORMATION

Clients are responsible for providing accurate and complete information necessary to arrange their travel, including names, dates of birth, contact information, travel dates, passport and visa information (when applicable), special requests, and any other information required by the supplier. Trip Into Travel is not responsible for costs, missed travel, or complications resulting from incorrect or incomplete information.

3. QUOTES & PRICING

All quotes are subject to availability and may change until a reservation is confirmed and the required deposit or payment has been received. Prices may change due to supplier pricing, taxes, fees, currency fluctuations, fuel surcharges, or other factors outside of our control. A quoted price is not guaranteed until confirmed by the supplier.

4. DEPOSITS & PAYMENTS

A deposit may be required to secure your reservation. Payment amounts and final payment deadlines vary by supplier and trip type. Failure to make payments by the deadline may result in cancellation, loss of deposits, cancellation penalties, or additional charges. Trip Into Travel may provide reminders; however, timely payment remains the client's responsibility.

5. FINAL PAYMENT

The final payment deadline will be provided at booking or in the client's travel documents. Once final payment is made, cancellation penalties may apply according to the supplier's terms. Travel may not be refundable simply because it has not yet occurred.

6. CANCELLATIONS & CHANGES

All cancellations and changes are subject to supplier policies. Penalties may include loss of deposits, change fees, cancellation fees, and non-refundable charges. Some reservations may be completely non-refundable. Requests should be submitted to Trip Into Travel in writing whenever possible. Service fees paid directly to Trip Into Travel may be non-refundable once services are performed.

7. REFUNDS

Refunds are governed by the supplier's policies. Trip Into Travel does not control the timing or amount of refunds issued by suppliers. If approved, refunds are generally returned using the original form of payment. Service fees paid to Trip Into Travel may be non-refundable.

8. TRAVEL INSURANCE

Travel insurance is strongly recommended. It may provide coverage for cancellation, interruption, medical emergencies, baggage loss, delays, and more depending on the policy. Clients are responsible for reviewing coverage, limits, exclusions, and conditions. If insurance is declined, the client may be responsible for non-refundable expenses resulting from unforeseen circumstances.

9. PASSPORTS, VISAS & TRAVEL DOCUMENTS

Clients are responsible for obtaining and maintaining all required travel documents. Requirements can change, so clients should verify current rules with appropriate government authorities. Trip Into Travel is not responsible for denied boarding, denied entry, missed travel, or additional costs due to inadequate or expired documents.

10. AIRLINE & TRANSPORTATION CHANGES

Airlines and transportation providers may change schedules, routes, aircraft, and departure times. Trip Into Travel does not control these changes and cannot guarantee that the original itinerary will remain unchanged. We will make reasonable efforts to assist, subject to supplier policies and availability.

11. HOTELS, RESORTS & ACCOMMODATIONS

Descriptions, photos, amenities, ratings, and room categories may change. Room preferences and special requests are requests only and are not guaranteed unless confirmed by the property or supplier.

12. CRUISES, TOURS & EXCURSIONS

Each provider sets its own rules, schedules, cancellation policies, health requirements, and participation restrictions. Activities may involve physical activity or inherent risks. Clients are responsible for determining what is appropriate for their circumstances.

13. SPECIAL REQUESTS

Trip Into Travel is happy to communicate special requests to suppliers, such as dietary needs, accessibility, room preferences, celebrations, seating, transportation, and more. Special requests are not guaranteed unless confirmed by the supplier.

14. TRAVEL DELAYS, CANCELLATIONS & DISRUPTIONS

Trip Into Travel is not responsible for circumstances beyond our control, including weather, natural disasters, pandemics, government actions, strikes, airline or supplier cancellations, mechanical problems, airport closures, security concerns, lost belongings, missed connections, terrorism, or other major events. We will make reasonable efforts to assist but cannot guarantee alternative arrangements or avoidance of additional costs.

15. CLIENT RESPONSIBILITY DURING TRAVEL

Clients are responsible for following the rules and instructions of airlines, hotels, cruise lines, tour operators, and other suppliers, as well as their own conduct while traveling. Additional expenses resulting from failure to follow requirements may be the client's responsibility.

16. TRAVEL SUPPLIER TERMS

Each supplier may have additional terms and conditions. By booking travel, you agree to comply with the applicable supplier's terms. In the event of a conflict, the supplier's terms may govern the specific travel service.

17. TRIP INTO TRAVEL SERVICE FEES

Trip Into Travel may charge planning, consultation, booking, change, cancellation, or other service fees. Applicable fees will be disclosed before they are charged. Unless otherwise stated in writing, service fees paid directly to Trip Into Travel are non-refundable once the applicable service has been provided.

18. COMMUNICATION

Clients are responsible for providing a current email address and phone number. Important booking information, confirmations, payment deadlines, travel documents, and other communications may be sent electronically. Clients should regularly check email, including spam or junk folders.

19. PRIVACY & PERSONAL INFORMATION

Trip Into Travel will use client information as reasonably necessary to arrange and manage travel. Information may be shared with suppliers, Outside Agents, and other authorized providers when necessary. Avoid sending sensitive payment information through unsecured email or messaging platforms.

20. LIMITATION OF LIABILITY

Trip Into Travel is an independent travel business affiliated with Outside Agents and acts as an intermediary. We do not own, operate, or control airlines, hotels, cruise lines, tour operators, transportation companies, or other third-party suppliers. Trip Into Travel is not responsible for their acts, omissions, errors, delays, cancellations, injuries, losses, damages, or failures, except as required by applicable law. Claims may need to be directed to the applicable supplier.

21. HEALTH & MEDICAL CONSIDERATIONS

Clients are responsible for determining whether they are medically and physically able to participate in their chosen travel arrangements and activities. Consult a medical professional regarding any health concerns or travel-related precautions.

22. ACCEPTANCE OF TERMS

By submitting a booking request, paying a deposit, making a payment, or otherwise authorizing Trip Into Travel to arrange travel services, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

23. CHANGES TO THESE TERMS

Trip Into Travel reserves the right to update these Terms & Conditions as necessary. The version applicable to your booking will generally be the version provided or accepted at the time of booking.
